Running Reports

You can only run Report Gateway reports to which you have access through your security role.

To run a report, follow these steps:

1.         Click the report that you want to run from one of the following locations:

a.       The Reports menu in MRI for the Web. Find a report by searching, filtering by application, using My Favorite Reports, or Recently Run Reports.

b.       The Home page in Report Gateway. Find a report on the Favorites or Reports tab by scrolling through the list, filtering by name and tag, or clicking Regenerate in the Recently Run area.

Note

By default, the Home page opens to the Favorites tab, which lists all reports and packets you have favorited by clicking the star icon. To find more reports, switch to the Reports tab.

 

c.       The Recent items page in Report Gateway, by clicking Regenerate.

The report viewer appears. The parameters for the report are listed on the left.

Note

The parameters for recent reports which were regenerated are populated with the values that were used the last time that the report was run.

 

2.         In the Data Context section, select the Client ID, Username, and Database for which the report should pull data. If this section is incomplete, parameters cannot be set.

Note

Depending on the source of the report, you might see fewer options in the Data Context section. For example, Workspeed reports require only a Username.

If you select a data context, make changes to parameters, and then change the data context, your parameter values may be reset.

 

3.         In the Parameters section, choose one of the following options to complete the report parameters:

            Select a parameter preset.

or

            Enter the standard parameters and report-specific parameters for the report.

or

            Click Enter report parameters if that is the only option in the Parameters section. This option only appears for ReportDesign reports synced from MRI Property Management, and clicking it opens the standard ReportDesign runtime options window. For more information on filling out these fields, refer to the Running Reports topic in the Administrative Options and Basics web Help.

Note

When entering standard parameters or a parameter preset, the following guidelines apply:

            Leave a non-required parameter blank to include all values for that parameter.

            To save your selected parameters as the default options for this report, click Set as Default.

            The report developer can determine whether to enforce entity class and site restrictions on individual reports. Entity class and site restrictions are enforced in all MRI-provided reports.

When entering parameters through the ReportDesign interface, the following guidelines apply:

            You must have an active MRI Property Management session open using the same data context as you specified in step 2 above.

            Your browser must be configured to allow pop-ups for your Report Gateway site. Each browser handles pop-up settings differently, so refer to documentation specific to your browser for more information

            All standard and custom ReportDesign reports that a user has access to are synced with Report Gateway nightly. This process also syncs each user's security information from MRI Property Management, translating user roles into Report Gateway security roles and report groups. If needed, a report or system administrator can also sync this data manually. For more information, refer to the Syncing External Reports topic.

            After setting your parameters, you can edit them by clicking Edit report parameters.

            It is possible to use variables for external report parameters after they have been entered. However, all variable types will be available for every parameter, as external report parameters cannot be directly correlated to any Report Gateway parameter type.

 

4.         In the Type drop-down field, select a format for the report.

a.       Interactive: Generates the report within the Report Viewer.

b.       PDF: Generates the report as a .pdf file.

c.       CSV: Generates the report as a .csv file.

d.       EXCEL: Generates the report as an .xls file.

e.       EXCEL 365: Generates the report as an .xlsx file.

f.        TSV: Generates the report as a .tsv file.

g.       WORD: Generates the report as a .doc file.

5.         To schedule this report to run in the future, click Schedule Report.

6.         Click Generate.

a.       For an interactive report, the output displays in a viewer on the right. Reports designed with interactive features may contain links which display additional subreport details, or open a screen in MRI for the Web. You can export from the viewer into several other file formats. Unless you export and save the exported file, no output file is created by an interactive report.

Note

If the interactive report viewer is unable to load a report within 1 minute, it will time out. This timeout period is not configurable.

 

b.       For a PDF report, the output displays in a viewer on the right. You can print or download from the viewer.

c.       For an Excel, Word, CSV, or TSV report, click the Download button to download the report.

d.       To email the report, first save the report output locally, and then attach it to an email message.

Note

The report is added to your Recent Reports history, available on the right side of the Home page and also on the Recent Items page.

 

7.         If desired, change the parameters on the left and click Generate again. The report output is refreshed on the right.

8.         After generating a non-interactive report, the Share button becomes enabled. To share the report over email or publish it to a database, click Share.

Favoriting Reports

If you have reports that you run frequently, you can make them easier to access by marking them as a favorite. To do this, select the Favorites star icon. Once selected, the icon will turn yellow . The report will display on the Favorites tab of the Home page. The report will also be included in your My Favorite Reports list in MRI for the Web.
