Sharing Reports

After a report has been generated, you can choose to share that report by either emailing it to another user or by publishing it to a platform. You can also set up your scheduled reports to be shared as soon as the report runs.

Sharing a Generated Report

To share a report after generating it, follow these steps:

1.         Generate a report in Report Gateway.

2.         After the report has been generated, click Share.

3.         If desired, on the Share This Report pane, you can review your parameters by clicking the arrow next to Parameters or review the report's data context by hovering over the lowercase i icon.

4.         In the Choose a Sharing Method section, choose either Send an Email or Publish to [Platform].

a.       If you select Send an Email, complete the following fields:

        Recipients—Enter a list of email addresses to which the report should be sent, separated by commas.

        Subject—Enter the topic of the message.

        Body—Enter a note to the recipient.

Note

The SMTP Server, SMTP Port, and SMTP User fields on the Configuration page must be configured in order for email messages to be sent.

The From address appears as: [DisplayName of the user who scheduled the report] <SMTP User>; for example, Emma Dashwood <reports@email.mrisoftware.com>.

If display names are not defined by your identity provider, then the username is used instead; for example, EDASHWOOD <reports@email.mrisoftware.com>.

 

b.       If you select Publish to [Platform], complete all of the required fields as appropriate. These fields will be different depending on the publish location.

Note

The Publish to [Platform] option is only available if the following three criteria are met:

        The platform has the Allow Publishing check box selected on the Platform Settings page.

        An administrator for this report's Client ID has selected the Allow Publishing to this location check box on the Report Sharing Options page.

        The current user has clicked the enrollment link in the publish platform.

 

5.         Click Share.

Sharing a Scheduled Report

To set up a scheduled report to be shared as soon as it runs, follow these steps:

1.         Schedule a report in Report Gateway. Fill in any relevant information, but do not click Schedule yet.

2.         In the Sharing section of the Schedule Report pane, click Add step.

3.         On the Add Sharing Step pane, choose either Send an Email or Publish to [Platform].

a.       If you select Send an Email, complete the following fields:

        Recipients—Enter a list of email addresses to which the report should be sent, separated by commas.

        Subject—Enter the topic of the message.

        Body—Enter a note to the recipient.

4.         Click Add.

5.         If desired, you can add more sharing steps to be triggered when the report is run. To do so, repeat steps 2 through 4.

6.         Click Schedule.

If you need to remove sharing steps from a scheduled report, follow these steps:

1.         Open a scheduled report with sharing steps.

2.         To remove all of the configured sharing steps, click Remove all in the Sharing section.

3.         To remove an individual sharing step, click Remove next to the step you want to remove.
